This Applicant Privacy Policy explains how Uttara Agro Industries (“we”, “us”, “our”) collects, uses, stores, and shares personal information submitted through our careers/application form at Uttara.co.in

If you are applying from outside India, your information may be processed in India. Where required, we will implement appropriate safeguards for international transfers.

 

1) What we collect

When you apply, we collect the information you provide, including:

  • Identity & contact: name, email, phone, location/city, LinkedIn URL.
  • Application details: position applied for, cover letter/message, preferred start date.
  • Documents: CV/resume and any certificates (e.g., PDFs, DOC/DOCX, ZIP).
  • Technical: page URL of the form, date/time of submission, IP address and basic device data (security/logging).
  • Cookies/anti-spam (if enabled): we may use reCAPTCHA or similar tools to prevent abuse.

2) Why we use your data (purposes & legal bases)

We process your data to:

  • Review your application and communicate with you (pre-contractual steps/legitimate interests).
  • Assess qualifications and suitability for the role (legitimate interests).
  • Arrange interviews and manage hiring steps (pre-contractual steps/legitimate interests).
  • Maintain hiring records and improve our recruitment process (legitimate interests).
  • Comply with legal obligations (e.g., record-keeping, responding to lawful requests).
  • With your consent (e.g., to keep your profile for future openings). You may withdraw consent at any time: [contact email].

3) How we collect your data

  • Directly from you via our application form (WordPress + Contact Form 7).
  • Optional: If you share links (e.g., LinkedIn/portfolio), we may view publicly available info on those pages.

Note: By default, Contact Form 7 emails submissions to us and does not store them in the WordPress database unless a plugin like Flamingo is installed. If we enable such storage, we will store your submission on our site’s database as described below.

4) Where we store and process data

  • Email/Inbox: Applications are delivered to [inbox/service, e.g., Google Workspace Gmail or your mail server].
  • Website/Hosting: [Your hosting provider], located in [country/region].
  • File storage (if used): We may save CVs/certificates in [cloud storage solution, e.g., Google Drive/OneDrive] for the hiring team.

5) Sharing & recipients

    We do not sell applicant data.

6) Retention

  • Active hiring round: We retain data for the duration of the recruitment process.
  • If unsuccessful: We typically keep your application for [e.g., 12 months] to consider you for future roles and for record-keeping, unless you ask us to delete it sooner.
  • If you consent to talent pool retention: We keep your data for up to [e.g., 24 months] or until you withdraw consent.

7) Security

We use reasonable administrative, technical, and physical safeguards to protect your information (e.g., access controls, TLS encryption in transit, principle of least privilege). No method of transmission or storage is completely secure; we cannot guarantee absolute security.

Database Storage (Flamingo or similar)

In addition to emailing submissions, we store application data (including attachments) in our website database so our hiring team can track and respond efficiently. Data is restricted to authorized staff and follows the retention periods above.
